Life OS Privacy Policy

Life OS is a private, local-first personal productivity application operated by Flagstone Creative. This Privacy Policy explains how Life OS accesses, uses, stores, shares, and deletes information when the application is connected to a Google account.
Life OS is currently a private, single-user application and is not available for public registration.
Information Life OS accesses
When the owner authorizes a Google account, Life OS may access:
• Basic Google account information, including the connected email address.
• Gmail message information, including sender and recipient information, subject lines, dates, labels, message identifiers, message previews, and message content.
• Google Calendar information, including calendar names and event metadata such as titles, dates, times, locations, and attendance information.
• Authorization tokens provided through Google OAuth.
Life OS requests access only after the owner completes Google’s authorization process.
How information is used
Life OS uses Google user data solely to provide personal productivity features requested by the owner. These features include:
• Creating a locally searchable index of relevant email conversations.
• Identifying possible tasks, deadlines, appointments, and messages requiring attention.
• Displaying upcoming calendar events inside Life OS.
• Helping the owner review possible calendar additions.
• Creating an event in a dedicated Life OS calendar after the owner approves it.
• Keeping the local email and calendar information up to date.
Life OS does not use Google user data for advertising, marketing, credit decisions, surveillance, or the creation of profiles for third parties.
Email content processing
Life OS may temporarily retrieve email content when additional context is needed to identify a date, time, appointment, deadline, or actionable request.
Full email bodies and attachments are not stored in Life OS’s persistent local email index. The persistent index contains limited information such as message headers, subject lines, identifiers, labels, dates, and short message previews.
Calendar descriptions are not copied into the persistent local calendar index.
Calendar access
Life OS may read events from the calendars available through the connected Google account.
If the owner separately enables calendar additions, Life OS creates and manages a dedicated secondary calendar named “Life OS.” The application may create events in that dedicated calendar after the owner approves them.
Life OS does not receive permission to modify or delete events from the owner’s other Google calendars.
Local storage and security
Life OS runs locally on the owner’s Mac.
Google OAuth tokens are stored in macOS Keychain. Indexed email information and calendar metadata are stored in the Life OS application data folder on the same Mac.
Life OS does not operate a remote database for storing the owner’s Gmail or Google Calendar data. Information exchanged with Google travels directly between the locally running Life OS integration and Google’s APIs.
The owner remains responsible for protecting access to the Mac on which Life OS is installed.
Life OS protects Google user data by storing OAuth credentials in macOS Keychain, limiting locally stored integration data to the Mac’s user account, and communicating with Google APIs through encrypted HTTPS connections.
Sharing and disclosure
Life OS does not sell, rent, license, or share Google user data with advertisers, data brokers, or other third parties.
Google user data is not transferred to external artificial intelligence services for training generalized AI or machine-learning models.
Life OS does not use Google Workspace API data to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models.
Information may be disclosed only if required by applicable law or when reasonably necessary to protect the security and integrity of the application.
Data retention and deletion
Locally indexed Google data is retained on the owner’s Mac while the account remains connected and the information is needed to provide Life OS features.
Disconnecting a Google account from Life OS removes that account’s OAuth credentials and local integration index from the Mac. It does not change or delete the original messages, calendars, or events stored by Google.
Tasks, notes, or calendar events that the owner intentionally creates using information reviewed in Life OS may remain until the owner deletes them separately.
The owner may also revoke Life OS’s access at any time through the security settings of the connected Google account.
Google API Limited Use disclosure
Life OS’s use and transfer of information received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Changes to this policy
This Privacy Policy may be updated if Life OS’s features or data practices change. If a material change affects how Life OS accesses, uses, stores, or shares Google user data, the owner will be notified within Life OS or by email before the change takes effect, and renewed consent will be obtained where required.
